Privacy Policy
Last updated: September 26, 2026.
This Privacy Policy explains how Beyop (“we,” “us,” “our”) handles information in connection with our public marketing website at beyop.com (the “Site”). It applies to people who visit the Site or contact us through it, for example by requesting a demo.
This policy covers the marketing site only. The Beyop application, where schools and students log and verify community service hours, runs separately from this Site: each school has its own Beyop address on its own subdomain of beyop.com. It is governed by a separate agreement with each school, including our student-data privacy terms (FERPA and the California Student Data Privacy Agreement). Student and roster data are not collected through this marketing site.
1. Information we collect
We keep this to a minimum. On the marketing site we collect:
- Information you give us. When you submit the “Request a demo” form, we collect the details you provide: your name, work email, role, school or district name, approximate enrollment, how you currently track service hours (optional), and any message you add.
- The email you enter to log in. The Log in page asks for your school email so it can send you to your school's Beyop address. We use it only for that, and we don't keep it (see Section 4).
- Usage & device information. Like most websites, we automatically receive basic technical information when you browse, such as your browser and device type, pages viewed, referring page, and an approximate location derived from your IP address. We use cookies and similar technologies for this (see Section 3).
We do not ask for sensitive personal information on this Site, and we do not collect student data here.
2. How we use information
- To respond to demo requests and other inquiries, and to follow up about Beyop.
- To understand how the Site is used so we can improve its content and performance.
- To keep the Site secure and prevent abuse or spam.
3. Cookies & Google Analytics
We use Google Analytics, a web-analytics service provided by Google, to understand how visitors use the Site (for example, which pages are most visited). Google Analytics sets cookies and processes usage data such as the pages you view and a truncated/approximate location from your IP address. This helps us improve the Site; we do not use it to identify you personally.
You can control or refuse cookies through your browser settings, and you can opt out of Google Analytics across all sites by installing Google's Analytics Opt-out Browser Add-on. Learn more about how Google handles data at policies.google.com/privacy.
4. Finding your school (the Log in page)
Every school has its own Beyop address, so our Log in page helps you find yours. When you enter your school email, it is sent securely to our lookup service at login.beyop.com, which checks it against the schools that use Beyop and, if it finds a match, sends you to your school's login page. Students use this page as well as staff, and it works the same way for everyone.
- We don't store the email you type. It is used for that one lookup and then discarded. So you don't have to type it twice, your browser also carries it over to your school's login page and fills in the Email box there; that hand-off happens inside your browser and is not sent to or stored on any server.
- Addresses are matched as keyed hashes. The directory we check against never holds anyone's email address, only a keyed hash of it (a scrambled fingerprint that can't be turned back into the address without a secret key we keep separately). Your entry is hashed the same way and compared.
- Logs record the domain only. For each lookup we log the time, whether a school was found, and the part of the email after the “@” (for example, the school district's domain), never the full address.
- Limited attempts. To prevent abuse, we briefly use your IP address to limit how many lookups can be made in a minute. Like any web request, the standard logs of the servers involved record the IP address and time of the request, but not the email. We keep these server logs, and the lookup log described above, for no longer than 90 days, and then they are deleted automatically.
The page never tells anyone which schools use Beyop: an email that isn't found gets the same answer whether or not a school exists.
5. How we share information
We do not sell your personal information. We share it only with service providers that help us run the Site, and only as needed:
- Form processing. Demo-request submissions are delivered to us through our form provider (Web3Forms), which emails the submission to our team.
- Analytics. Usage data is processed by Google Analytics as described above.
- Legal reasons. We may disclose information if required by law or to protect our rights, safety, or property.
6. Data retention
We keep demo-request details for as long as needed to follow up and for our ordinary business records, and then delete or anonymize them. Analytics data is retained according to our Google Analytics settings.
7. Your choices
- Opt out of analytics using your browser settings or the Google opt-out add-on linked above.
- Ask us to access or delete the contact details you submitted — just email us (see Section 10).
- You can choose not to submit the demo form; the rest of the Site remains available.
8. Children's privacy
The general content of this marketing site is intended for school staff and administrators and is not directed to children.
The one exception is our Log in page (Section 4). Students of schools that use Beyop, including students under 13, use it to find their school's Beyop address. That use takes place under each school's service and data privacy agreement with Beyop, and the school provides consent for it on behalf of parents. The email a student enters is used only to locate their school and is not retained. Beyond that, only the limited technical information described in Section 4 is involved.
Apart from the Log in page, we do not knowingly collect personal information from children through the Site. Parents with questions can contact their child's school or email us at ore@beyop.com.
9. Third-party links
The Site may link to third-party websites or services we don't control. Their privacy practices are governed by their own policies, not this one.
10. Changes & contact
We may update this policy from time to time; when we make material changes we will update the date above. Questions about this policy or a request regarding your information? Email us at ore@beyop.com.
